The tool is approved. It knows nothing about your team's work yet.

How it works

An AI Setup is a few hands-on online sessions on your team's real work, with my preparation and build work around them.

Filled dot: everyone. Open dot: the sponsor, who orders, and the champion, who keeps it current.
  1. Before

A sponsor call on goals and first tasks, and a short intake from each person. I draft your shared context and instructions.

  2. Two sessions

A team session on the shared setup, then a session per person for their own assistant. I prepare and lead both.

  3. After

Your champion takes over with the guide, IT gets the IT note, and I answer questions for four weeks and check usage at 30 and 60 days.

See every step
  1. Week 0

Sponsor call (45 minutes, online) on goals, your AI tool, what IT allows and the 3-5 tasks to start with.

Your part Sponsor and champion, 45 minutes

My part I prepare and lead the call.

  2. Week 1

A short intake from each person and a few examples of their work.

Your part About 10 minutes per person

My part I draft the shared team context and instructions.

  3. Weeks 1-2

Team session (2 hours, online): the team uses the shared setup live on real work and agrees its usage guidelines.

Your part The whole team, 2 hours

My part I prepare and lead the team session.

  4. Weeks 2-3

Individual sessions (60 minutes each, online): each person sets up their own context and a working assistant on their own work.

Your part 60 minutes per person

My part I lead each person's session.

  5. Week 4

Handover (60 minutes, online): the champion takes over the setup with the guide, and IT receives the IT note.

Your part The champion, 60 minutes

My part I hand over the setup, the guide and the IT note.

  6. Weeks 4-8

Four weeks of questions through your company's chat or email.

Your part The champion, as needed

    My part I answer questions.

  7. 30 and 60 days after handover

Usage checks at team level, without names, and a short note to the sponsor at 60 days on what is in use and what to add next.

Your part The champion, as needed

My part I check usage at team level and write the sponsor note.

  8. Months 2-4, with Follow-through

A monthly team session (60 minutes, online) to tune the setup and add the next piece, then a 90-day review with the sponsor on what is in use, what to add and whether to continue.

Your part The whole team, one hour a month

My part I lead the monthly session and the 90-day review.

  • Leader setup follows the same rhythm for one leader: the sponsor call, then two 90-minute online working sessions in place of the team and individual sessions, followed by four weeks of questions and the usage checks.
  • The Team session is the 2-hour team session on its own, with a 45-minute prep call beforehand and short written notes afterwards.

Questions

Why not do it ourselves?

You can, and if someone in your team has the time, it can work well. It means writing the shared context, testing instructions on real examples and keeping them current alongside a full week's work. Here that work happens with your team in about four weeks, on your own tasks, and the colleague who owns it afterwards gets a guide to keep it going.

What if usage fades after handover?

Usage is checked 30 and 60 days after handover, at team level without names, and at 60 days the sponsor gets a short note on what is in use and what to add next. Questions are answered for four weeks after handover. Follow-through adds three monthly team sessions and a 90-day review, and Keep it running continues with a monthly session you can cancel any month. For the checks, the champion shares the usage report your tool already provides, so I need no access after handover.

What does IT need to approve?

What the team chooses to connect, such as a shared folder, inside the tool your company has already approved, under your licences and settings. IT gets a one-page note on what is connected, where data stays and who has access, and a sample is on this page. IT can send me questions before you order at roy@roybernheim.com.

Who owns what we build?

Your company. Everything we build is yours from handover, and your team can change it without me.

Which AI tools does it work with?

The one your company approves: Microsoft Copilot, Gemini Enterprise, ChatGPT Enterprise or Claude. Shared instructions become what your tool offers: agents in Copilot, Gems in Gemini, GPTs or projects in ChatGPT, projects in Claude. Gemini Enterprise, ChatGPT Enterprise and Claude Enterprise are supported but not yet delivered.

How much time does it take from the team?

About 3 hours per person over four weeks: a 10-minute intake, the 2-hour team session and a 60-minute individual session. The sponsor and the champion add a 45-minute call at the start, and the champion a 60-minute handover.

Why does Team setup cost more than a training day?

One session gives the team a start in one sitting. Team setup adds what stays after the day: shared context and instructions built on your own tasks, a working assistant for each person, the handover to your champion, the IT note, four weeks of questions and the checks at 30 and 60 days. If you start with the Team session, its full price comes off Team setup when the team continues within 6 months.

Can it be in person?

Yes, on request, priced separately. Prices on this page are for online delivery. Add the place and dates to the order form, and the confirmed order states the in-person price before anything is binding. A team sitting together, for example at an offsite, can also join an online session from one room.

Can it cover regulated work?

The setup is for everyday work, such as preparation, summaries and first drafts. It is not validated for regulated processes such as GxP, and content that needs formal review keeps its existing approval path. AI output can be wrong, so people check it before it is used.

What if we are more than 12 people?

One order covers up to 12 people. For a larger group or several teams, ask for a quote by email or in a 30-minute call.

How does ordering work with a purchase order?

Fill in the form and you get a one-page order request to forward, with your PO number on it if your company needs one. I reply within two working days with the confirmed order and its terms. The confirmed order carries what procurement needs to set up or match the supplier. It becomes binding once you accept it, by email or with your purchase order.

What does the confirmed order cover?

Before anything is binding, you get the confirmed order with the full amount and its terms. Online work has no expenses; travel for an in-person session is named there with its amount.

Which languages are the sessions in?

Sessions in English or German; Spanish and Portuguese on request. We agree the language in the sponsor call.

Which currency are the prices in?

Prices are in CHF. Prices exclude AI tool costs, VAT and expenses. A quote in USD or EUR is available on request.

Samples

Shared team context

A sample of the file that gives everyone on the team the same starting point. It sits in the company drive, and the shared instructions and assistants read from it, so answers match across the team.

  • Team: a regional commercial team of eight, reporting to the head of commercial
    • Purpose: plan and run the quarterly campaigns for three markets
    • Who decides: the team lead signs off budgets, and each market lead signs off local copy
  • Projects this quarter
    • Spring campaign: briefs due in week 6, launch in week 10
    • Retailer reviews: one summary per market before the March meeting
  • Terms we use
    • Sell-in: the volume agreed with a retailer before launch
    • Market lead: the person who owns one country
  • Tone: plain and short, figures before opinions, customers addressed formally
  • Sources: where the current brief template and the brand guidelines live

Keep it short and current, and review it once a month.

Shared instructions for a recurring task

A sample of one shared instruction, written once and used by the whole team. Depending on your tool, it becomes a skill, an agent or a saved prompt.

Task: weekly team update

  • Purpose: turn the week's notes into a one-page update for the team lead
  • Reads: the team's notes for the week and the project list in the shared context
  • Steps
    • Group the notes by project
    • For each project, say what moved, what is blocked and what needs a decision
    • Put decisions first, with the name of the person who makes each one
    • Keep it to one page, in the team's tone
  • Hands back: a draft for a person to check and send
  • Rule: the draft waits for approval and is never sent automatically

A setup covers three to five of these, such as meeting prep, call summaries or the first draft of a recurring report.

A personal setup and working assistant

A sample of what each person has after their 60-minute session. Everyone starts from the shared team context, so the personal part stays small.

  • Personal context
    • Role: market lead for two countries
    • Current work: the spring campaign and two retailer reviews
    • Tone: short and direct, figures first
    • Good examples: two past emails that show the style
  • Personal instructions, on top of the shared ones
    • Answer in the language of the message
    • Ask one question first when a request is unclear
  • One working assistant, chosen from the person's own week
    • Example: drafts the weekly retailer follow-up from the meeting notes
    • Example: lists the day's emails under reply today, reply this week and no reply needed
  • Approval: the assistant is set to ask before it sends, books or changes anything

Team usage guidelines

A sample of the one page a team agrees in the team session, in plain words.

  • What we use the AI tool for: drafting, summarising, preparing meetings and checking our own work
  • What stays with a person: decisions, anything sent outside the company and anything that needs formal review
  • What goes in: material the company allows in its approved AI tool
  • What stays out: material that must remain outside it, as set out in the IT note
  • How we check output before it goes out
    • Figures, names and dates are checked against the source
    • A person reads every draft before it is sent
  • How we share what works: a good instruction goes into the shared set, and the champion hears about it
  • Where to ask: the champion first, then IT for access questions

The team reviews these guidelines after 60 days.

Note for IT

A sample of the one-page note IT receives at handover. It lists what your team's setup uses.

  • Tool: the AI tool your company approves, used under your existing licences and settings
  • Connected: the folders, mailboxes or systems the team chose to connect, listed one by one
    • Example: the team's shared folder in the company drive
  • Built: the shared instructions and assistants, and who can use each one
  • Data: stays in your company's accounts and approved tools, apart from work examples the team sends the supplier directly
  • After the project: those examples are deleted at handover; only records the law requires, such as orders and invoices, are kept
  • Stays outside the tool: the material the company excludes, listed one by one
  • Access: any access the supplier received is removed at handover, with the date
  • Approval: each assistant is set up to ask a person before it sends, books or changes anything
  • Scope: everyday work; the setup is not validated for regulated processes such as GxP
  • Usage checks: 30 and 60 days after handover, at team level, without names
  • Contacts: your named IT contact, and the supplier contact for questions

Note to the sponsor after 60 days

A sample of the short note the sponsor receives 60 days after handover. One page, written for a busy reader.

  • In use: which shared instructions and assistants the team uses, at team level without names
    • Example: the weekly update and meeting prep are in regular use, the retailer summary not yet
  • Needs attention: instructions that are out of date or unused, and why
  • Next: the next piece worth adding, with a suggested owner
  • Decision for you: continue with a monthly session, or let the champion run it

Champion guide

A sample of the two pages for the colleague who owns the setup after handover.

  • What is in the setup: the shared context, the shared instructions and where each one lives
  • Monthly routine
    • Read the shared context and fix what changed
    • Check which instructions the team uses and which it does not
    • Add one new instruction from a task the team does every week
  • How to add an instruction: write the task in plain steps, test it on two real examples, then share it
  • How to bring in a new colleague: share the context and the guidelines, and help them set up their own assistant
  • When to ask for help: access questions go to IT, changes in scope go to the sponsor
